Outdoor vs. Indoor Venues: What’s the difference?

One of the first and, arguably, most impactful decisions a client will make when planning an event is their choice of venue: would they prefer to celebrate indoors or outdoors? Many factors go into the selection of a venue, so it’s important to keep all of the logistics in consideration.

Here are some thoughts to help guide the decision for your clients.

Outdoor venues

Of course, the biggest consideration for an event in an outdoor space is the season. No matter what part of the world you are in, there are varying seasons that can make or break an outdoor celebration. For example, here in the Gulf Coast, we have sub-tropical weather and there are certain times of the year that may have an ideal temperature, but we are guaranteed to get rain every day. Look at the local weather trends from past years to determine the best time of year for an outdoor event.

With that said, an outdoor space can be a perfect way to embrace existing landscape and nature as part of the décor. Not only is this a great way to save on additional décor, but it also fits certain event themes well, like a garden party or a woodland fête. If this is the case, just ensure that there is a Plan B option in case it rains—no matter how beautiful the greenery is, the guests will still be getting wet. I prefer to lead my clients toward a tent from the get-go, even as an initial plan rather than a backup. A tent can be absolutely stunning and still has an outdoor feel on a beautiful day. For example, a clear tent is perfect for taking in the full effect of the surroundings, but will protect everyone in case of a surprise shower.

Indoor venues

Opting for an indoor venue is a safe choice, as your clients won’t have to be concerned about weather at all. From rain to intense heat to the cold of winter, an indoor event space will have everyone covered and comfortable.

On the flip side, indoor venues are often a ‘blank slate’ and can cost a bit more filling it with florals, lighting, and greenery. For some, this is a strong draw as it allows for more of a customized feeling. Keep your clients’ preferences in mind as you help settle on the very best choice for their event.

Regardless of whether a space is indoors or outdoors, be sure to keep the size inconsideration as well. An outdoor venue with room for 500 people is not the ideal choice for an intimate wedding for 30, just as an indoor ballroom that holds 100 people would not accommodate a party of 250. My best advice is to truly listen to your client to determine the feel of the wedding.
